Electronic Document Storage: Cut your costs significantly

Posted on 17th September 2010 in Office Electronic

In today’s global business environment, it is highly significant for an organization to maximize their resources, and thus, maintain its profitable position in the market. The same goes when it comes to electronic document storage. Gone are the days when it was all about the hard copies of every document generated. These days, more and more companies are opting for electronic storage of their important documents as this saves them time, money and space. At present, there are three major types of electronic document storage.

The easiest form of document storage is to store these documents on the hard drive of the computer. No hassles! No time-wastages! However, it comes as an effective solution for home-offices only. Next comes the turn of network storage which is the next level of electronic document storage. Here, the significant office documents can be created, uploaded and accessed by any computer system that is connected to the company network. Documents are stored on a shared drive. However, this method of document storage is harder to secure and you need to opt for extra security measures to save your documents from being hacked.

Now comes the turn of Internet storage and especially is a good option for larger companies or businesses. Here, documents can be created, uploaded, accessed and even downloaded by any computer system. This form of electronic document storage comes as a great respite for the companies which need to share information with clients all over the globe.

The Electronic Document Management System – What You Need to Know

Posted on 19th August 2010 in Office Electronic

Electronic Document Management systems are an indispensable feature within the offices of many of the world’s most successful international businesses. They have the power to transform organisations from sluggish, confused and paper-laden box-ticking operations into efficient, dynamic power-houses, freeing up spare capacity and time. But for a technology which has so much to offer, for those outside the field, document management software can seem something of a closed world; an impenetrable maze of concepts and phrases that seem rather more intended to befuddle than to assist. To make life a little easier for the un-initiated, here we provide a brief introduction to electronic document management systems and background on some of the key related terms you’re most likely to encounter with document management software.

Electronic Document Management – What is it?

Electronic Document Management is all about how we handle our paperwork. Since the advent of word processing and the computerization of the workplace, much of the day-to-day paper work that would clutter offices and filing rooms in times gone by has been eliminated. The humble email account has done away with the piles of notes and memos that would cover our desks of old. And even the most basic email account today gives users the ability to trace back through our communications, months, even years; so most office workers don’t need to hang on to very much by way of paperwork at all. But certain documents you can never dispense with – just as you’ll always need a passport going through customs, your workplace will always have to hang onto certain key pieces of documentation and paperwork. And statutory requirements demand that most companies retain copies of particular documents in order to comply with accounting and other legal obligations. And for organisations within certain sectors, for instance, the medical profession, these documentary burdens can be more onerous than for others.

Electronic Document Storage Has Several Major Benefits

Posted on 19th August 2010 in Electronic

Electronic document storage means that documents are stored on magnetic or optical media using a computer. The documents can be ones originally created in an electronic form, as when you create a word-processed document or record a business transaction directly online, e.g., with a point-of-sale terminal. The documents can also be paper documents that are scanned into an electronic format.

Documents are stored electronically on media such as magnetic tapes and disks, and optical media such as CD. Millions of documents can be stored on current-generation media in very little space, say the size of your thumb. The contents of these media can also be easily backed up by creating duplicates on similar media.

How does electronic document storage compare with other forms of storage? Let’s find out.

Electronic vs. Paper Document Storage

Paper documents are sorted by some predetermined criteria and filed in appropriately labeled folders. The sorting is done manually and if the person doing it is not clear on how to categorize a particular document (or is a little careless) documents can end up in the wrong folder. This can make subsequent retrieval a very difficult process.

Electronic document storage typically offers a search function that enables a particular document to be retrieved from wherever it is. If it has been stored under a wrong category, the situation can be remedied quickly and easily. Or even better, a copy of the document can be stored under both the old and new categories (if the old classification has some significance).

Document Management – The intelligent route towards a “green” office

Posted on 12th August 2010 in Office Electronic

We hear the word “green” used a lot these days but how many of us really try to implement it in our daily lives other than separating the glass from tin, from cardboard come refuse day?

The “green” office is an even more elusive holy grail and the biggest contributor to what has become the absolute antithesis of a “green” office is the vast amount of documentation that we all produce each and every day. Walk into any office regardless of size in any town across the country and its impossible not to see evidence of it everywhere.

Very large producers of paperwork, (who would otherwise eventually run out of space to put people!), send their archive paperwork to one of the many warehouse storage businesses who specialise in physical document storage… Sadly all that’s happened here is the problem has been transported off-site but with the added knock on effect of creating an even bigger “less-green”! carbon footprint with the requirement for lorries and forklift trucks etc.

This “out of sight out of mind” approach is certainly not a green or even efficient solution to storing mountains of paperwork. So what can be done to move towards the creation of a truly greener office?

There is an alternative and it’s been available for a number of years. Sadly however, less than 10% of the business community choose to use it. Its generically known as “Document Management” and in the case of archiving involves nothing more complicated than electronically scanning the archived, or even current, documents to an electronic form which are then stored on a PC or network.

Document Scanning & E-Forms – How Your Office Finally Goes Green

Posted on 25th July 2010 in Office Electronic

On April 22nd, the fortieth anniversary of Earth Day, eco-friendly Americans demonstrated their support for a more sustainable environment. You may be wondering how your business can also support that goal. Here are several important ways electronic document management, document scanning and electronic forms promote a truly “green” office.

Scanned documents save paper, storage space and trees.
The average business document gets copied nineteen times!* Based on that calculation, every 4-drawer file cabinet in your office requires one 70′ tree to be cut down.**  What that means is that every time you scan the documents in a 4-draw file cabinet, you’ve saved a tree!

Imagine the savings you’ll immediately recognize, as well as the environmental impact you’ll generate, when your paper purchasing and copier supplies are drastically reduced. In addition, just by incorporating document scanning at your firm, you’ll single-handedly reduce the number of file cabinets and file folders necessary and the environmental impact created as they’re manufactured.

Implement document scanning to directly impact the use of natural resources as well as realizing substantial savings. Wouldn’t that make you feel better about the way you run your business?

According to Daily Green, “If the United States cut office paper use by just 10% it would prevent the emission of 1.6 million tons of greenhouse gases — the equivalent of taking 280,000 cars off the road.” Creating a paperless office through electronic document management reduces the energy required to cut down, manufacture, transport, copy and store paper. Your decision to adopt a paperless office is a commitment to reducing greenhouse gases.
